Media Supervisor (Louisville, KY)
The Executive Assistant & Agency Concierge is an operations team member who provides administrative support for senior-level staff as outlined below, supports day-to-day agency operations and manages agency hospitality services for in-house and external employee and client events.
A successful candidate executes tasks with impeccable attention to detail while seeking opportunities to alleviate friction and effort from the people they assist.
Performs clerical and administrative tasks including calendar scheduling, drafting memos, submitting invoices and other requests as needed for CEO, COO, CCO, CMO, Vice Chairman, Controller and Director of Talent.
Acts as a liaison for pro-bono client and board communication needs.
Arranges employee travel and accommodation.
Plans, schedules and coordinates special events, parties and meetings.
Updates agency intranet site.
Supports the employee hiring process, including interview scheduling, PI management and distribution, and onboarding scheduling.
Manages employee new-hire merchandise ordering and distribution.
Schedules agency professional development sessions.
Registers employees for professional development events and conferences.
Concierge & Hospitality Support
Greets and welcomes agency clients and visitors.
Enthusiastically coordinates and prepares client meeting food and beverage, as requested by all account and new business teams.
Runs appropriate errands for client-related meetings and events.
Arranges client reservations and accommodations, as requested.
Manages client parking coordination and vouchers.
Extremely proficient with Microsoft Office Suite.
Excellent verbal and written communication skills.
Excellent organizational skills and attention to detail.
Excellent problem-solving and critical thinking skills.
Excellent time management skills with a proven ability to meet deadlines.
Ability to function well in a high-paced and at times stressful environment.
Must be professional and discreet at all times.
Must have a positive, service-oriented attitude with the ability to remain flexible and patient.
